Game Heads Booking Terms & Conditions
By booking an event with Game Heads, you agree to the following terms.
Booking Confirmation
Bookings are confirmed once:

A booking form has been submitted, and
-
Confirmation has been provided by Game Heads.
Payment
Payment terms will be confirmed at the time of booking.
Unless otherwise stated:

Deposit payment is due at time of booking.

Balance payment must be made 10 days prior to the date of the event.
Failure to make payment may result in cancellation.
Access & Parking
Customers must ensure:

Adequate parking space is available for the gaming van
-
Safe access is provided to the event location
-
Four standard plug sockets are available if required
If access is not possible, Game Heads reserves the right to cancel or modify the event.
Supervision
While our event host supervises gameplay inside the van, parents or responsible adults remain responsible for the behaviour and safety of guests at the event.
Behaviour
We reserve the right to stop or end an event if participants behave in a way that is:

Dangerous

Aggressive
-
Damaging to equipment
No refund will be issued in such circumstances.
Weather
Our gaming van is fully enclosed and climate controlled, meaning events can proceed in most weather conditions.
However, in cases of extreme weather or unsafe conditions, we may need to reschedule.
Damage
Any deliberate damage caused to equipment may result in charges to cover repair or replacement.
Game Heads Cancellation & Refund Policy

This policy outlines the cancellation and refund terms for bookings made with Game Heads.
Customer Cancellations
If you need to cancel, reschedule or change the venue of your event, please contact us as soon as possible by email.
Cancellation terms may vary depending on the notice given.
As a general guide:

14+ days notice – loss of deposit. Rescheduling or venue changes will be accommodated if possible. We operate back-to-back events so venue changes may not always be possible.

Less than 14 days notice – we would look to recover the invoice balance.
Balance payment (if any) are to be made no later than 10 days prior to your event start time.
Game Heads Cancellations
In the rare event that Game Heads must cancel a booking due to circumstances beyond our control (such as vehicle breakdown or illness), we will offer:

A rescheduled date, or
-
A full refund
Late Arrivals
If the event cannot start at the scheduled time due to lack of access or delays at the venue, the booking may still finish at the originally agreed time.
We aim to arrive 15-35 minutes before your event starts. We'll send a text with our ETA so you can track us live on Google Maps. In the event of late arrival for any reason – we'll still make sure you get your full playtime.
Unexpected Things Happen (But We've Got You Covered!)
In the event of all our on-board systems having a 100% failure (TV / Xbox's/ VR Headsets / Switches /onboard systems - this has never happened) We would offer a full refund.
If our Starlink internet fails and we cannot use yours as you don't have it or its also down, or there are issues with online games or updates, unfortunately, we can't be held responsible.
If the power goes out at your place, we'll stick around and wait for it to come back on so you don't miss out on the fun. We will wait for the booked duration.
